# Everything you can do on a data point

The complete map of a data point – every icon, every menu item and what it does for you, from entering a value to requesting, charting, splitting and proving it.

A data point is one answer inside a disclosure – a number, a text, a Yes/No, a date or a table. It is also where the real work happens: you fill it in, hand it to a colleague, split it by site, chart it, explain it, attach evidence and track who changed what. This page is the map; the linked pages go deeper.

{% hint style="success" %}
**Saves you time:** everything on this page works on one data point **or** on many at once. Tick the checkboxes next to several data points and the same actions appear in a bulk bar – one disclosure assigned to a colleague in three clicks.
{% endhint %}

## Where to find it

Dashboard › **ESG reporting** › a framework tile › a disclosure row. Each block on the disclosure page is one data point: its title, the legal reference ("ESRS E1 par. 29 a)", sometimes "This is an EU law datapoint."), a toolbar on the right and the input below.

<figure><img src="https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FqCMDfqVlXJ9EMVsfTxec%2Fdatapoint-1.png?alt=media" alt="Data point toolbar"><figcaption><p>1 Add visualization · 2 Export to XLSX · 3 Complete · 4 Delegate · 5 Assignee · 6 Attachments · 7 Comments · 8 Status dot · 9 "…" menu. A data point without a request shows a <strong>+</strong> instead of 3–5.</p></figcaption></figure>

## The toolbar at a glance

| Icon / button                                 | What it does                                                                                                             | Who                                  |
| --------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------ | ------------------------------------ |
| **Add visualization** (chart icon) | Opens the chart drawer. Greyed with "No data is available for visualization at this level" on texts and empty numbers. | Administrators, reporters |
| **Export to XLSX** (document icon) | Exports this one data point – its rows and breakdowns – to Excel. | Everyone |
| **+** | No request yet. Click to create one: **Assign request**. | Administrators |
| **Complete** / **Delegate** / assignee avatar | A request exists. The avatar's tooltip is the assignee's name; **Complete** submits the work, **Delegate** passes it on. | Assignee (reporter or administrator) |
| **Attachments** (paper clip) | Files that belong to this data point – invoices, calculations, certificates. | Upload: administrators · view: all |
| **Comments** (speech bubble) | Discussion thread with the people on the request. The count shows unread activity. | Participants write · viewers read |
| **Status dot** | Hover to read the request status (**To do**, **In progress**, **Submitted**, **Validated**). | – |
| **"…"**                                       | The full menu – see the next section.                                                                                    | –                                    |

{% hint style="info" %}
The avatar, the **Comments** icon, the **Attachments** icon and **View detail** all open the **same** right-hand drawer, each on a different tab. If you ever wonder "where did that comment go" – it is there.
{% endhint %}

| **Request** | **Complete**, **Delegate**, **Give viewing access**, **Cancel request** | Request actions – explained in [How data requests work](/team-collaboration/collaboration.md). |
| **Excel** | **Export to XLSX**, **Import from XLSX** | Excel round-trip for this data point only. Ideal for a long breakdown or a GHG row with hundreds of sources. |
| **Data point** | **Mark as not material** | The data point turns read-only, shows "Data point is marked as not material", leaves the report and the Excel import, and any open request on it is cancelled. **Mark as material** brings it back. |
| **Data point** | **Add public note** | A rich-text note under the data point that is "also visible in the report" – the place to explain a method or an outlier. (Numbers, dates and choices only.) |
| **Data point** | **Erase content** | Clears the value. It is saved immediately – and you can get it back from the **Change log**. |

Menu items depend on your role and on the data point: reporters see the request and Excel groups for their own requests, viewers see **View detail** and **Change log**.

## Fill in a value

Type or pick, and the disclosure page saves for you – watch the header go **Unsaved changes → Saving… → Saved at HH:mm**. There is no Save button ([why, and what to do when saving fails](/working-with-your-data/autosave-and-coediting.md)). Enter numbers in the unit you have – SmartHead converts; percentages are typed as 55 and stored as 0.55.

## Split a value by site, country or gender

Open the row's **"…"** menu › **Split using template** (one row) or **Split all using template**. Pick a **Predefined** breakdown (Country, Gender, Energy source, Scope 3 category, …) or one of your **Own** ones. Splits can be nested – gender, then country – and SmartHead keeps the totals in line: "Breakdown total … is not matching the first breakdown" tells you when they don't.

![row "…" menu with the Split using template submenu, headings Predefined and Own](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FRN93QWr8QcNr1nwzTWfd%2Fdatapoint-5.png?alt=media)

Full story, including removing entries and the **Manage breakdowns** link: [Breakdowns](/working-with-your-data/breakdowns.md).

## Chart it

**Add visualization** opens a drawer: chart type, which breakdown is the lead axis (**Display chart by**), relative values, custom scale, a description. The chart appears under the data point **and in your PDF/Word report**; **Export to PNG** gives you the picture for a slide. Details: [Charts: add a visualization](/working-with-your-data/visualizations.md).

## Hand it to someone

{% stepper %}
{% step %}

### Create the request

Click **+** (or **"…"** › **Assign request**). Choose the **Request type** – **Task** (someone fills it in), **Approval** (someone signs it off) or **Access-only** (someone may read it) – then **Select user**, a **Due Date** and an optional comment.
{% endstep %}

{% step %}

### They get an email and an inbox entry

The assignee finds the data point on their **Requests** page, fills it in and clicks **Complete**. The status goes **To do → In progress → Submitted**.
{% endstep %}

{% step %}

### You approve or reopen

As the requester you see **Approve** or **Reopen and assign** on the data point. Approved means **Validated**.
{% endstep %}
{% endstepper %}

Do the same for many data points at once: hover a data point, tick its checkbox, tick more, then **Assign requests** in the blue bar. **More** holds **Reassign requests**, **Cancel requests**, **Cancel approvals**, **Mark as material** / **Mark as not material**.

![bulk bar "1 datapoints selected" with Assign requests and the More menu open](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FZIdFXsD7h5F1Aycp9kyI%2Fdatapoint-4.png?alt=media)

{% hint style="info" %}
**Upcoming:** with **Several users on one data point** turned on in ESG settings, you can assign one data point to several people at once; each gets their own request and the data point is done when all of them complete. Confirm the release date with SmartHead before relying on it. See [Several users on one data point](/team-collaboration/parallel-work.md).
{% endhint %}

## Discuss, prove, trace

* **Comments** – the thread stays with the number; every participant is emailed "Added new comment".
* **Attachments** – evidence next to the value; the disclosure list shows **Contains attachments**.
* **Change log** – every change with author and time; **Restore these changes** brings an older value back.
* **Public note** – explanation that goes into the report; **Private note** (at the bottom of the disclosure) stays with administrators.

![the request drawer on the Comments tab, with Task card, Assignee, Users with access](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FpF9aEeaAcDefK9qwwYdW%2Fdatapoint-3.png?alt=media)

More in [Notes, attachments and change log](/working-with-your-data/notes-attachments-change-log.md).

## Share with an auditor without inviting a reporter

**"…"** › **Give viewing access** adds read-only access for chosen users to this data point only (the whole disclosure: header **"…"** › **Give viewing access to disclosure**). They see it under **Shared with me** on their Requests page. See [Viewing access for auditors and managers](/team-collaboration/viewing-access.md).

## Excel for one data point

**"…"** › **Export to XLSX** gives a workbook with the data point's rows; fill or paste, then **Import from XLSX** on the same menu shows a preview ("Will be changed", "Not in the file – kept") before anything is saved. Reporters can do this for data points they have a request on. See [Import from Excel](/export-import-reports/excel-import.md).

## GHG rows

On GHG data points (ESRS E1-6, Revised ESRS E1-8, VSME B3/C3) each row has a small calculator icon after the unit. It opens the row calculator with emission factors and sources; the row value then comes from the sources and is read-only here. See [Calculate a row](/ghg-emissions-co2-calculator/calculator-drawer.md). On these disclosures the **"…"** menu of the page also offers **Share all GHG emissions on Finstat**.

## In a parent profile

{% hint style="info" %}
**Upcoming:** in the parent profile of a group, each data point also shows a **Consolidate** button, a lock icon when the value comes from consolidation ("…choose 'Enter manually' in the menu") and a progress bar "● 4 of 4" for subsidiaries with a value. Confirm the release date with SmartHead before relying on it. See [Consolidate data points and disclosures](/consolidation-group-of-companies/consolidate-datapoint.md).
{% endhint %}

## Tips

* An **Updated HH:mm** badge on a data point means a colleague changed it while you had the page open; SmartHead merged it in. If you both changed the same one, it asks **Keep my version** / **Use their version**.
* Use **Mark as not material** instead of leaving a data point empty – the report and your auditor then know it was a decision, not an oversight.
* Erased something by mistake? **"…"** › **Change log** › **Restore these changes**.
* For a 200-row breakdown, don't type: **Export to XLSX**, paste, **Import from XLSX**.
* The **Guidance** button in the page header shows the standard's requirement for the disclosure you are on – no PDF hunting.
