# Did you know? Features that save you hours

Eighteen features that save hours – most people find them months in. Each one in three lines, with where to click and the page that explains it.

Most SmartHead users discover these by accident, usually after they had already done the work by hand. Each entry is one benefit, where to find it and a link. Skim the bold lines; open the ones that hit a nerve.

## Collect data

<details>

<summary><strong>Hand a whole disclosure to a colleague in three clicks</strong></summary>

Hover a data point, tick its checkbox, tick more (or **Select all**), then **Assign requests** in the blue bar. One drawer, one due date, one email per person – instead of twenty requests one by one.

Where: any disclosure page › checkboxes › **Assign requests**. See [Assign, delegate and complete requests](/team-collaboration/assign-requests.md).

![bulk bar "1 datapoints selected" with Assign requests and the More menu open](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FZIdFXsD7h5F1Aycp9kyI%2Fdatapoint-4.png?alt=media)

</details>

<details>

<summary><strong>A ready-made Excel template for people without an account</strong></summary>

**Export to XLSX** with **Include data points without a value** ticked gives you a workbook with every empty data point as a row – one sheet per disclosure, a legend sheet that explains the colors. Send it to a supplier or a plant manager; import it back with a preview that shows what will change before anything is saved.

Where: disclosure list › **Export** › **Export to XLSX**; back via **Export** › **Import from XLSX**. See [Export to Excel](/export-import-reports/excel-export.md).

</details>

<details>

<summary><strong>One standard, one department, one Excel file</strong></summary>

Hover a standard row (E1, S1, …) and open its **"…"** menu: **Export to XLSX** and **Import from XLSX** work for that standard only. Environment gets E1, HR gets S1, nobody sees the rest.

Where: disclosure list › standard row › **"…"**. See [Export to Excel](/export-import-reports/excel-export.md).

</details>

<details>

<summary><strong>Several people on one data point at the same time</strong></summary>

{% hint style="info" %}
**Upcoming:** this feature is in the current SmartHead release candidate and may not be in your workspace yet. Confirm the release date with SmartHead before relying on it.
{% endhint %}

Switch on **Several users on one data point** in ESG settings and a request can go to three departments at once. Each gets their own request; the data point is done when all have completed.

Where: disclosure list › **Settings** › **Data requests**. See [Several users on one data point](/team-collaboration/parallel-work.md).

</details>

<details>

<summary><strong>Who is late, at a glance</strong></summary>

The **Requests** page's **Overview** shows **Tasks by user** – a progress bar per colleague – and the **All requests** subpage has an **Overdue only** filter. Your Monday check takes two minutes.

Where: header › **Requests** › **Overview** / **All requests**. See [The Requests page](/team-collaboration/requests-page.md).

</details>

## Work faster on a disclosure

<details>

<summary><strong>Only the disclosures you must report</strong></summary>

Once your double materiality assessment is confirmed, the ESRS list gets an **Only material disclosures** switch. Flip it and the list shrinks to what is material for your company. **Edit materiality** jumps back to the selection.

Where: ESRS disclosure list, next to the status filter. See [ESRS](/esg-frameworks/esrs.md).

![ESRS list top with the DMA banner and the Only material disclosures switch](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FHnf7hSs1lkEyAWO6kIww%2Fesrs-1.png?alt=media)

</details>

<details>

<summary><strong>The standard's text next to your form</strong></summary>

The **Guidance** button in the header of a disclosure opens a drawer with the disclosure requirements and application requirements for exactly the disclosure you are on. No PDF, no searching paragraph numbers.

Where: disclosure page › **Guidance**. See [Guidance: the standard next to your form](/esg-frameworks/guidance.md).

</details>

<details>

<summary><strong>Erased something? Bring it back</strong></summary>

Every data point and every disclosure keeps a change log: author, time, old value, new value. **Restore these changes** puts an older version back – also after **Erase content** or **Clear disclosure**.

Where: data point **"…"** › **Change log**; disclosure **"…"** › **Change log**. See [Notes, attachments and change log](/working-with-your-data/notes-attachments-change-log.md).

</details>

<details>

<summary><strong>Two people, one disclosure, no overwriting</strong></summary>

When a colleague changes a data point while you have the page open, it updates with an **Updated HH:mm** badge. If you both changed the same one, SmartHead asks **Keep my version** or **Use their version**. Nobody loses work.

Where: automatic on every disclosure page. See [Autosave, co-editing and conflicts](/working-with-your-data/autosave-and-coediting.md).

</details>

<details>

<summary><strong>Explain a number inside the report</strong></summary>

**Add public note** puts a formatted note under a data point that also appears in the PDF and Word report – the place for a method change or an outlier. The **Private note** at the bottom of the disclosure stays with administrators.

Where: data point **"…"** › **Add public note**. See [Notes, attachments and change log](/working-with-your-data/notes-attachments-change-log.md).

</details>

<details>

<summary><strong>A chart that lands in your report</strong></summary>

**Add visualization** on a numeric data point draws a pie, bar or column chart by any breakdown; it appears under the data point and in the exported report. **Export to PNG** gives you the slide version.

Where: data point toolbar › **Add visualization** (chart icon). See [Charts: add a visualization](/working-with-your-data/visualizations.md).

</details>

<details>

<summary><strong>Your own breakdown categories</strong></summary>

{% hint style="info" %}
**Upcoming:** this feature is in the current SmartHead release candidate and may not be in your workspace yet. Confirm the release date with SmartHead before relying on it.
{% endhint %}

Define your plants, business units or countries once in ESG settings; they appear under **Own** in every **Split using template** menu, in Excel and in the report. Hide the predefined items you never use.

Where: disclosure list › **Settings** › **Custom breakdowns**. See [Breakdowns](/working-with-your-data/breakdowns.md).

</details>

## Emissions

<details>

<summary><strong>Emission factors suggested for your country and year</strong></summary>

The row calculator's **Emission factors** tab shows **Suggested emission factors** for your country and reporting year (BEIS, IPCC, AIB and others), with a warning when the year doesn't match. Searching the whole database is one click further.

Where: GHG data point › calculator icon on a row › **Emission factors**. See [Find the right emission factor](/ghg-emissions-co2-calculator/emission-factors.md).

![calculator drawer, Emission factors tab with the Suggested emission factors block](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2F5AUeTz0HFf48i2wPw3jv%2Fghg-2.png?alt=media)

</details>

<details>

<summary><strong>Few factors, many sources</strong></summary>

Add your three or four factors once, then paste a hundred vehicles or sites as sources. Select sources and use **Assign emission factor** to link them in one go; the filter **Without emission factor** shows what is left. The Excel export of a row has the factors as a dropdown, so the fleet list can be pasted from your own spreadsheet.

Where: row calculator › **Sources**. See [Calculate a row](/ghg-emissions-co2-calculator/calculator-drawer.md) and [Fleet and site lists via Excel](/ghg-emissions-co2-calculator/excel.md).

</details>

<details>

<summary><strong>Publish your real footprint where banks look</strong></summary>

Slovak companies can send their calculated scope 1, 2 and 3 to Finstat with one switch per scope and **Publish my real emissions on Finstat** – your real numbers instead of an estimate.

Where: dashboard › Finstat card, or the GHG disclosure's **"…"** › **Share all GHG emissions on Finstat**. See [Publish your real footprint on Finstat](/ghg-emissions-co2-calculator/finstat.md).

</details>

## Share and present

<details>

<summary><strong>Show your auditor one disclosure – without making them a user of everything</strong></summary>

**Give viewing access** (one data point) or **Give viewing access to disclosure** (the whole page) makes the content read-only visible to chosen people. They find it under **Shared with me** on their Requests page.

Where: data point **"…"** or disclosure header **"…"**. See [Viewing access for auditors and managers](/team-collaboration/viewing-access.md).

</details>

<details>

<summary><strong>The materiality report and the official taxonomy tables, ready to attach</strong></summary>

The double materiality assessment exports itself as a Word or PDF report with the matrix and the IRO list. The EU Taxonomy page exports an Excel in the layout of the official reporting tables, columns (1)–(21) included.

Where: DMA page › **"…"** › **Export to DOCX** / **Export to PDF**; EU Taxonomy page › **Export to XLSX**. See [Double materiality assessment](/esg-frameworks/esrs/double-materiality.md) and [EU Taxonomy](/esg-frameworks/eu-taxonomy.md).

</details>

<details>

<summary><strong>Group narratives merged by AI</strong></summary>

{% hint style="info" %}
**Upcoming:** this feature is in the current SmartHead release candidate and may not be in your workspace yet. Confirm the release date with SmartHead before relying on it.
{% endhint %}

In a parent profile, **AI Merge** turns the subsidiaries' texts for one data point into a single group narrative and lists the divergences it found. Numbers are summed or averaged by the method you choose.

Where: parent profile › data point › **Consolidate**. See [Consolidate data points and disclosures](/consolidation-group-of-companies/consolidate-datapoint.md).

</details>

## Set up in minutes

<details>

<summary><strong>Invite twenty colleagues from one Excel file</strong></summary>

**Import users** gives you a template with a role dropdown, checks every row and sends all invitations at once. For single invitations, set your company email domain in profile settings and every address completes itself after "@".

Where: dashboard › **Users** › **Import users**; domain in dashboard › **Settings**. See [Invite and manage users](/your-account-company/user-management/invite-users.md).

![Import users drawer, step 1 with Download template and Upload file](https://2593582272-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FxT5TFLiwBWeM9d0fDydH%2Fuploads%2FLevZGsqLb0g44XbqwsAr%2Fusers-3.png?alt=media)

</details>

<details>

<summary><strong>Translate your public profile with one click</strong></summary>

Every text of your profile and activities is stored per language. **Auto-translate selected language** fills the empty languages from your primary one; you only review.

Where: profile settings or activity editor › language menu. See [Create an activity](/activities-public-profile/create-activity.md).
