# All the ways to get data in and out

One matrix of every export and import in SmartHead – PDF, Word, Excel and PNG – from a whole year down to one data point, with the exact button and who may use it.

Everything you enter in SmartHead can leave it again as a report, a spreadsheet or a picture – and spreadsheets can come back in. This page is the map: pick the level you need, read off the button and the format, then follow the link.

{% hint style="success" %}
**Saves you time:** there is an Excel round-trip at every level – the whole year, one standard, one disclosure, one data point, one GHG row. Hand exactly the part someone is responsible for, get the file back, import it with a preview. No merging of spreadsheets.
{% endhint %}

## Where to find it

Three places hold almost every button:

* The disclosure list: Dashboard › **ESG reporting** › a framework tile › **Export** menu, and the **"…"** menu on a standard row.
* The disclosure page: the header **"…"** menu and the **"…"** menu of each data point.
* The DMA page and the EU Taxonomy wizard: their header **"…"** menu.

The whole-year PDF and Word files are your ESG report – see [Your ESG report](/export-import-reports/esg-report.md). The Excel column is explained in [Export to Excel](/export-import-reports/excel-export.md) and [Import from Excel](/export-import-reports/excel-import.md).

## Who may do what

| | Export (PDF, DOCX, XLSX, PNG) | Import from Excel |
| ----------------- | ----------------------------- | -------------------------------------------- |
| **Administrator** | everything | whole year, standard, disclosure, data point |
| **Reporter** | what they can open | data points they have a request on |
| **Auditor**       | what they can open            | –                                            |
| **Viewer**        | everything, read-only         | –                                            |

{% hint style="warning" %}
TO CHECK: a reporter importing a disclosure file – rows for data points without their request are listed as "No request assigned to you" and skipped; confirm on dev2 that the rest of the file still imports (Q31).
{% endhint %}

## Not available yet

* **XBRL / iXBRL** – the Excel export carries an `XBRL tag` column, but there is no tagged file yet.
* **CSV** – the chart menu shows "CSV - available soon".
* **PDF of one disclosure or one standard** – export the whole year and keep the pages you need, or use Word and delete the rest.

## Tips

* Need a template for someone without a SmartHead account? **Export to XLSX** with **Include data points without a value** ticked – every empty data point becomes a blue cell to fill.
* The list export follows your filter: set the status filter to **In progress** first and you export only unfinished work.
* An export from the list first saves anything still waiting in autosave, so the file never lags behind the screen.
* Charts you add to a data point land in the PDF and Word report automatically – you don't export them one by one unless you want a PNG for a slide.
